AI receptionist & appointment booking

AI receptionist setup. Calls with a next step.

We configure and test an existing voice platform for your business. Answer routine inbound calls, qualify the request, and connect one calendar or CRM.

From $2,000 USDOne-time project. Software and usage billed separately.

30 minutes with the co-founders. Check fit, tools and the next scoping step.

Is this the right
first project?

A caller wants to know whether you can help and what to do next. When your team is busy or the office is closed, that conversation can become a voicemail with too little information to act on. A useful phone workflow collects the right details, uses approved business information, and gives the request an owner. Your team receives the context needed to follow up.

A good fit when…

  • You already receive inbound calls and need a better way to handle busy periods or after-hours inquiries.

  • Common questions and appointment eligibility can be described with clear business rules.

  • A person on your team can take escalations and follow up on requests that cannot be booked automatically.

Your first project, priced.

Optional ongoing support
$300–$1,000/month, optional, for agreed monitoring and bounded fixes. Coverage and response times are set in writing; new flows and major changes are separate.
Timing
Delivery dates are agreed after platform, phone, and integration checks. Test calls and your approval come before activation.

All prices are in USD. Third-party software, API usage, hosting and any telephony charges are separate. Support is optional; its coverage and limits are agreed separately. New workflows need a new scope.

Tangible work

A configured inbound receptionist

One phone number and one qualification flow on an agreed voice platform, using your approved business information, greeting, hours, and escalation rules.

02

A calendar or CRM handoff

One supported connection: book eligible appointments within approved availability, or create a qualified inquiry in your CRM. Requests awaiting review stay distinct from confirmed bookings.

03

Call testing and a team handoff

Test calls for ordinary inquiries, unclear requests, unavailable slots, failed connections, and human handoff. Receive the agreed operating instructions and an owner for follow-up.

  1. 01 / The starting point

A new customer calls after hours to ask about your service and availability.

  2. 02 / The right context

The assistant uses approved answers and asks for the service needed, location, and contact details.

  3. 03 / Prepared for review

It offers a slot from the connected calendar only when the request meets your booking rules; otherwise, it records a request for review.

  4. 04 / A person decides

The customer receives a clear booking or request status, and the assigned team member gets the relevant details.

  2. 02

Configure the call and its next step

Set up the agreed platform and supported calendar or CRM connection. Define how the assistant reports a confirmed appointment, a pending request, or an unsuccessful handoff.

  3. 03

    Test before routing real calls

Rehearse interruptions, unclear details, unavailable staff, full calendars, and connection failures. Review the results with your team, agree the fallback, and approve activation.

This offer covers inbound calls. We confirm the platform, number setup, integration support, and call volume before quoting. Your business approves the disclosure, recording, consent, and retention policy used in the setup. Pricing commitments, medical or other professional advice, outbound calling, and emergency response are outside the starter scope. Availability depends on the selected platform and connected systems; fallback behavior is tested before activation.

Security and data questions ↗
A few useful answers

Before we begin.

How much does a first project cost?

Inbound receptionist setup starts at $2,000 USD for the starter scope shown on this page. We confirm access, scope, exclusions, timing and a written price before work begins. Third-party software and usage charges are separate; ongoing support is optional.

What happens on the free scoping call?

In 30 minutes, we discuss one task, your current tools and the result you need. We check whether the starter fits and what is needed for a written proposal. If paid discovery is needed, we explain its scope and price first. You do not need a prepared brief or a paid assessment to book the call.

How will we judge whether the project is useful?

We agree a baseline and acceptance checks with the person who owns the work. Test calls follow the agreed booking or CRM route; unavailable slots, unclear requests, and failed connections trigger the tested fallback. Where relevant, we also compare manual effort, correction work and operating costs. These checks guide the handoff; they are not a promise of revenue or savings.

How much does an AI receptionist setup cost?

The starter project is from $2,000 USD, one time, for one number, one qualification flow, and one supported calendar or CRM connection. For multiple locations, additional flows, or more integrations, the planning range is $4,000–$8,000. Your scope and fixed project price are agreed before work begins.

What are the ongoing costs?

The voice platform subscription, telephone number, call usage, and any other third-party charges are separate from setup. We identify those costs for your expected call volume before you commit. Optional monitoring and bounded fixes start at $300–$1,000 per month according to the agreed coverage; new workflows and major changes are quoted separately.

Could we just use an existing AI receptionist product?

Yes. We start by checking ready-made products against your call flow. If a native feature does the job, the work is configuration, connection, and testing. A custom build is only considered when a specific requirement justifies it.

Can it use our current phone number, calendar, or CRM?

We check the providers, forwarding options, supported integrations, permissions, and any number-transfer requirements before quoting. The starter includes one supported calendar or CRM connection. Keeping a number or connecting a particular system is not assumed until those checks are complete.

Will it actually book appointments?

When the selected integration supports it, the workflow can book within the calendar, appointment types, availability, and eligibility rules you approve. If it cannot verify a slot or complete the booking, it captures a request for your team and tells the caller that confirmation is still needed.

What happens when a caller needs a person?

The flow follows your escalation rules. A supported live transfer can be used when someone is available; otherwise, it records a callback request with the agreed contact details and routes it to an owner. We test unsuccessful transfers and unclear requests as part of setup.

Can it cover evenings and weekends?

After-hours handling can be part of the configured schedule when the platform supports it. We agree what callers can complete outside your staffed hours and what must wait for a person. Provider outages and failed connections have an agreed fallback rather than a promise that every call will be answered.

How soon can we start using it?

We confirm a delivery schedule after checking the platform, phone setup, integration, and approved script. Access delays, number transfers, and additional call flows affect timing. Activation follows test calls and your approval of the booking, escalation, and fallback behavior.

Are calls recorded, and does the assistant identify itself?

We configure the greeting, AI disclosure, recording settings, access, and retention around the policy your business approves and the platform's capabilities. You provide any legal review your use case requires. Recording is a decision made before activation, not an assumed requirement.
